This may include physiotherapists, doctors, orthopaedic clinicians, chiropractors, osteopaths and other appropriately qualified healthcare professionals.
Where a healthcare professional refers you to PIS, we may receive your information before we have had direct contact with you. We will provide or make available this Privacy Notice when we first communicate with you, or as soon as reasonably practicable thereafter.
Once a referral has been received and accepted for processing, PIS may contact the patient directly using the contact details supplied by the referrer to arrange the next stages of their care.
We may also receive information from:

5. Our lawful basis for processing
Under the UK GDPR, we must have a lawful basis for processing personal information.
Depending on the circumstances, we may rely on one or more of the following:
Contract
We may process information where this is necessary to enter into or perform a contract with you, including arranging and providing services you have agreed to receive.
Legitimate interests
We may process information where necessary for our legitimate interests or those of another person, provided those interests are not overridden by your rights and freedoms.
Our legitimate interests may include:
- operating and administering our diagnostic imaging services;
- communicating with healthcare professionals and organisations;
- improving our services;
- maintaining network and information security;
- preventing fraud;
- managing business relationships; and
- establishing, exercising or defending legal claims.
Where we rely on legitimate interests, we consider whether the processing is necessary and balance our interests against the rights and interests of the individuals concerned.
Legal obligation
We may process personal information where this is necessary to comply with legal, regulatory or professional obligations that apply to PIS.
Vital interests
In exceptional circumstances, we may process information where necessary to protect someone's life or physical safety.
6. Health and other special-category information
Information concerning health is special-category personal data under the UK GDPR and receives additional protection.
Where we process health information for the provision of diagnostic imaging and associated healthcare services, we will generally rely on:
Article 9(2)(h) UK GDPR, where processing is necessary for medical diagnosis, the provision of health care or treatment, or the management of healthcare systems and services.
Where required, this is supported by the relevant provisions of the Data Protection Act 2018, including Schedule 1.
Health information is processed by, or under the responsibility of, healthcare professionals and other persons subject to appropriate duties of confidentiality.
Other Article 9 conditions may apply in specific circumstances, including where processing is necessary to protect vital interests, establish or defend legal claims, or meet substantial public-interest requirements permitted by law.
We do not rely on consent as the primary legal basis for processing information that is necessary to provide safe clinical care simply because you have agreed to undergo an MRI examination.
Where consent is specifically required for a separate use of your information, we will ask for it separately.
7. Referrals received from healthcare professionals
Most patients using our private MRI services will be referred to us by a healthcare professional.
The referring healthcare professional or organisation is responsible for ensuring that they have an appropriate basis for sharing information with PIS and that the referral contains information relevant to the requested examination.
When we receive a referral, we may use the information provided to:
- assess the referral;
- contact the patient;
- confirm patient identity and details;
- undertake safety screening;
- arrange an appointment;
- provide the diagnostic imaging service; and
- communicate with the referrer and other healthcare professionals involved in the patient's care.
Patients will be provided with, or directed to, this Privacy Notice when we first communicate with them or as soon as reasonably practicable.
8. Patients who do not already have a referrer
PIS principally provides MRI examinations following referral from an appropriate healthcare professional.
Where a person contacts PIS but does not already have an appropriate clinical referral, we may provide information about an independent clinical assessment or referral service.
Where the individual chooses to use such a service, relevant personal and clinical information may be shared with the healthcare professional or organisation providing that assessment.
Any decision to make a clinical referral remains the responsibility of the assessing healthcare professional.
The independent clinician or healthcare provider may have their own privacy notice explaining how they process personal information.
9. Who we may share information with
We only share personal information where there is an appropriate reason to do so.
Depending on the service provided, information may be shared with:
- the healthcare professional or organisation that referred you;
- radiologists and reporting providers;
- radiographers and other healthcare professionals involved in your care;
- MRI scanner or diagnostic imaging providers working with PIS;
- hospitals and other healthcare organisations where clinically necessary;
- independent GP or clinical assessment services where requested;
- providers of secure image storage, transfer, PACS, RIS or clinical information systems;
- IT, hosting, communications and secure data-processing providers;
- payment-processing providers;
- professional advisers, insurers, auditors and legal representatives;
- regulators and statutory authorities, including the Care Quality Commission where appropriate;
- law enforcement or other authorities where required by law; and
- other persons where disclosure is necessary to protect the vital interests of a patient or another person.
We require organisations processing information on our behalf to provide appropriate confidentiality, security and data-protection safeguards.
Where another healthcare provider determines independently how and why it processes personal information, it may be a separate data controller and will be responsible for its own compliance with data-protection law.
10. Radiology reports and diagnostic images
Diagnostic images and associated clinical information may be securely transferred to a radiologist or reporting service for interpretation.
The completed report may then be made available to PIS, the referring healthcare professional and, where appropriate, other healthcare professionals involved in the patient's care.
Images may also be stored within secure imaging systems and made available to authorised healthcare professionals where required for ongoing care.
Access to clinical information is restricted to individuals and organisations with an appropriate need to access it.
11. Urgent or unexpected findings
Diagnostic imaging may occasionally identify a finding requiring urgent clinical attention.
Where this occurs, relevant information may be shared promptly with the referring clinician, another appropriate healthcare professional, an emergency healthcare service or another provider where this is necessary and appropriate to protect the patient's health or safety.
12. How we protect your information
We take appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.
These measures may include:
- access controls;
- secure authentication;
- encryption;
- secure clinical information systems;
- role-based access to patient information;
- staff confidentiality requirements;
- data-protection and information-governance procedures;
- secure transfer of diagnostic images and reports;
- system monitoring and security controls; and
- contractual safeguards with organisations processing information on our behalf.
Although no electronic system can be guaranteed to be completely secure, we regularly review the safeguards used to protect the information we hold.
13. How long we keep your information
We retain personal information only for as long as necessary for the purpose for which it was collected and to meet applicable clinical, regulatory, professional, insurance and legal requirements.
Clinical records, diagnostic images and radiology reports may need to be retained for significant periods because they form part of the patient's healthcare record.
The appropriate retention period may depend on:
- the type of record;
- whether the patient is an adult or child;
- clinical requirements;
- professional and regulatory requirements;
- limitation periods for legal claims;
- contractual requirements; and
- applicable healthcare records-management guidance.
When information is no longer required, it will be securely deleted, destroyed or anonymised in accordance with our retention procedures.
Further information about a particular retention period can be requested using the contact details in this notice.
14. International transfers
We aim to use systems and service providers that process personal information within the United Kingdom wherever reasonably practicable.
However, some technology or service providers may process or store information outside the UK.
Where personal information is transferred internationally, we will ensure that an appropriate legal mechanism and safeguards are in place as required by UK data-protection law, such as UK adequacy regulations or approved contractual safeguards.
Further information about applicable safeguards can be requested from us.
15. Cookies and website analytics
Our website may use cookies and similar technologies.
Some technologies are necessary for the website to function correctly. Others may be used for analytics or additional website functionality.
Where consent is required, non-essential technologies will not be used until you have made an appropriate choice.
Further information is available in our Cookies and Website Analytics Policy.
16. Marketing
We may send relevant business-to-business communications to healthcare professionals and healthcare organisations where permitted by law.
You can ask us to stop sending marketing communications at any time.
We do not use patient clinical information for marketing purposes.
Where consent is required before sending electronic marketing, we will obtain that consent before doing so.
17. Automated decision-making
PIS does not currently make decisions about patients based solely on automated processing where those decisions produce legal or similarly significant effects.
Technology may be used to support administrative, imaging or clinical workflows, but clinical decisions remain subject to appropriate professional oversight.
18. Your data-protection rights
Depending on the circumstances and the lawful basis being relied upon, you may have rights including the right to:
- request access to personal information we hold about you;
- request correction of inaccurate or incomplete information;
- request deletion of your information in certain circumstances;
- request restriction of processing in certain circumstances;
- object to certain types of processing;
- receive certain information in a portable format where the right to data portability applies; and
- withdraw consent at any time where a particular activity is based on consent.
These rights are not absolute.
For example, we may be required to retain clinical records even if you ask us to delete them.
We may need to verify your identity before responding to a request.
If you wish to exercise any of these rights, contact: admin@parallelimaging.co.uk
19. Your right to object
Where we process your personal information on the basis of legitimate interests, you have the right to object to that processing in certain circumstances.
If you object, we will consider your request and whether there are compelling legitimate grounds for the processing to continue.
You have an absolute right to object to personal information being used for direct marketing.
20. Complaints and concerns
If you have a concern about how PIS has used your personal information, please contact us in the first instance so that we can investigate.
